Send a webhook when a workflow is clicked
By the end of this guide, you'll have a workflow on a record's page that sends the record's data to an external service when it's clicked. Use it to trigger a Zapier automation, post to Slack, or call your own system.
What you'll need before you start
- A webhook URL from your external service, like Zapier, Make, or your own system. If you're using Zapier, follow Connect Engine Awesome to Zapier first to get one.
- An Item layout to add the workflow to.
- Administrator access.
Step 1: Create a webhook
Workflows send to one of your team's webhooks, so the URL is set up once and can be reused.
- Go to Settings → API Access, and under Webhooks, click Create Webhook.
- Give it a Name, like
Send to Accounting, and paste your service's URL. - Under Topics, choose object.send, which a workflow sends a record with. To send a list's filters instead, from a workflow above a list, choose query.send.
- Save the webhook.
Step 2: Add a workflow
- Open the layout editor for the Item layout.
- Add a Workflow block where you want it, and pick the ready-made Send Webhook workflow.
- Click its text to change its label, like
Send to AccountingorNotify Team.
Step 3: Choose the webhook
- With the workflow selected, click Edit Workflow in the block toolbar.
- Select its Send Webhook step, and under Webhook, choose the webhook you created.
- Click Done, then save your layout.
The workflow is disabled until it has a webhook with the right topic, and the step is flagged in the editor until one is chosen.
To ask before sending, add a Confirm step before Send Webhook. To say it worked, add a Show Notice step after it, like "Sent to Accounting." See Workflows for more steps.
Step 4: Test it
- Open a record that uses the layout.
- Save any changes to the record first. The workflow sends the record's saved values, along with who clicked it.
- Click the workflow.
- Check your external service to confirm the data arrived.
Only people who can change the record can send it.
Most automation platforms have a test mode. Point your webhook at the test URL first, check what Engine Awesome sends, then switch it to the live URL in Settings → API Access.
What to do next
- Connect Engine Awesome to Zapier, to build the Zapier side of this automation.
- Send Webhook, the step's settings.
